Refund Policy

Effective date: September 22, 2025.

1. Scope

This Refund Policy explains how Grace Calvary Ministries handles requests for refunds of donations made via our website or other official channels.

2. General rule

Donations are generally voluntary and non-refundable unless a refund is required due to an error, duplicate payment, or other exceptional circumstance.

5. How to request a refund

To request a refund email admin@gracecalvaryministries.org with your full name, donation date, donation amount, and transaction reference number.

6. Required information

Please include the payment method used (for example, PayPal, card, or M-PESA) and any supporting screenshots or receipts when you submit your refund request.

7. Processing refunds

We will acknowledge receipt of your refund request by email and begin an initial review to confirm eligibility.

8. Timeframes

If a refund is approved we will instruct our payment processor to return the funds and will inform you by email when the refund has been initiated.

9. Payment processor and fees

Refunds are processed by our payment provider and the appearance of refunded funds and any fees returned depends on the payment provider and your bank or mobile operator.

10. Billing descriptor and chargebacks

The billing descriptor shown on your statement is set by our payment acquirer and will generally appear as GRACE CALVARY MINISTRIES or as specified by the processor, and chargebacks should be raised with your card issuer while notifying us at admin@gracecalvaryministries.org.

11. M-PESA and mobile-money refunds

If a donation was made via M-PESA provide the MPESA transaction code and donor phone number and we will work with Safaricom or our M-PESA merchant account holder to investigate and, where appropriate, reverse or refund the transaction.

12. PayPal and other gateway refunds

If the donation was made via PayPal or another gateway we will coordinate with that provider to process refunds in accordance with their policies and technical capabilities.

13. Tax receipts and refunded donations

If you receive a tax receipt for a donation that is later refunded please notify us so we can correct our records and issue any appropriate adjustments or confirmations for tax purposes.

14. Dispute escalation

If you are unsatisfied with the outcome of your refund request you may contact our Data Protection Officer or escalate the matter to the relevant consumer protection authority or payment provider dispute resolution service.
